Transfer calls to a person

Your assistant takes most calls to the end by itself. For the cases where a person should take over, such as an emergency or a request for a specific department, it can put the caller straight through.
In short: Open your assistant, go to the Phone section and switch on Transfer calls to a person. Add one destination per person or department: name, phone number and a rule for when to transfer there. If nobody picks up, your assistant stays with the caller and takes a message.
Set up transfers
1. In the dashboard, open Assistants and choose your assistant. 2. Go to the Phone section. 3. Switch on Transfer calls to a person. 4. Click Add a person or number. 5. Enter the name, the phone number and the rule, meaning when your assistant transfers to this destination. 6. Save.
You can add up to 20 destinations, for example one per location, department or on-call number.
Write good rules
The rule describes in your own words when to transfer. The more specific it is, the more reliable the result.

Avoid rules such as "when it is important". Callers think almost everything is important, and your assistant will then transfer too often.
Set a default destination
With Use for all other transfers you pick the destination that applies when no rule matches. Leave it out if your assistant should only transfer in the cases you described.
When nobody picks up
Your assistant lets the destination ring for up to 30 seconds. If the call does not connect, it returns to the caller, apologises briefly and offers to take a message. Nobody ends up in a dead end.
In the call list you can see for every call whether it was transferred, to whom, and whether the connection worked.
Switch transfers off
Switch Transfer calls to a person off again. Transfers are then off and your assistant takes every call to the end. Your destinations stay saved.

Frequently asked questions
Can the assistant transfer to different departments?
Yes. Add one destination per department, each with its own number and rule. Your assistant picks the destination whose rule fits the request.
What happens if the person does not pick up?
After about 30 seconds your assistant returns to the caller and takes a message.
Can I allow transfers only in an emergency?
Yes. Describe in the rule exactly what counts as an emergency, and do not set a default destination.
Who receives the call summary?
You set the recipients under Settings → Notifications. In an assistant's Notifications section you can set separate recipients for that assistant, for example per location.
Can I transfer to a mobile number?
Yes. Enter the number in international format, for example +41 79 123 45 67.
